What is Band Boosters?

The band booster program plays an ESSENTIAL ROLE in with our students and helps plan, develop, and implement activities for our students. Our band booster program is a GREAT way to stay engaged with your child's band participation and stay informed in all activities throughout the year. Meetings are held once a month and your membership does not require a lot of your time. It is a great way to meet other parents and plan for the future!

HERE ARE SOME OF ELECTED POSITIONS BUT YOU CAN STILL PARTICIPATE IN THE BOOSTERS WITHOUT BEING AN OFFICER

President

  • Creates the monthly agenda and runs the meetings.  When running the meetings the president should make sure that the group stays on task and on topic. 
  • Oversees all of the other officers to make sure each member is fulfilling their duties.
  • Is a cosigner with the treasurer on the Booster’s bank accounts.
  • Communicates information to the other booster members, officers, and directors.  
    • Emails out the minutes, treasurer’s report, and announcements when received by the secretary/treasurer.
    • Writes short articles for the Newsletter.
  • Organizes volunteers for events and delegates specific tasks to boosters/volunteers.
  • (Along with Secretary and Treasurer) keeps track of booster membership and who is eligible to vote.  ​

Vice President

  • Oversees all fundraisers.  This does not mean that you are in charge of every aspect of every fundraiser.  Instead you are responsible for delegating duties to Members at Large or other officers, boosters, and volunteers. 
    • Fairshare fundraisers typically include: Tag Day (September), Candle Sale (October), and Spring Fundraiser(April/May)
    • Other fundraisers typically include: Concessions/spirit wear stand at Football Games/concerts, Pasta Dinner, Jazz Coffeehouse, Split the Pot at Home Football games
    • Individual account Marching Band fundraisers may include: Car Washes and a Winter sale (Jan./Feb.)
  • Preparing your monthly fundraising report.  This will include a list of duties you need volunteers for as well as progress reports on previous, current, and future fundraisers.
  • Runs the meetings in the absence of the president.

Treasurer 

  • Prepares the Treasurer’s report (listing the month and year-to-date expenses and incomes)
  • Keeps ledgers for each line item/account in the budget.
  • Receives money and writes checks for the Alumni Band and the Choir Program.
  • Receives, counts, and organizes all money from band fundraiser and events.  Works with the directors and the school bookkeeper to track student fees.
  • Issues all checks for bills and reimbursements.  Talks to vendors about bills.
  • Files the yearly taxes and non-profit paper work.  Audit report with independent auditor.
  • Provides last year’s total income/expenses numbers for the annual budget meeting.
  • Purchases items for events as needed or reimburses someone else to purchases items.
  • Present at Tag Day, Pasta Dinner, and Coffee House to collect money.
    • Prepare cash box for any additional fundraisers or sales when needed
  • (Along with President and Secretary) keeps track of booster membership and who is eligible to vote.  ​

Secretary 

  • Preparing the minutes.  
    • It is suggested that you ask each person to prepare a written/typed report. That way you only have to take notes on additional topics that come up.  
    • The minutes should be emailed to the directors and the president.  
    • Try to get the minutes done by the end of the week. That way we keep everyone who had to miss the meeting updated.
  • Keeps track of which boosters/volunteers have been background checked and when they need to get rechecked.  All officers and chaperones should be backgrounded checked.
